Job Description

  • HR Responsibilities (75%)
  • Respond to internal and external HR related inquiries or requests and provide assistance
  • Redirect HR related calls or distribute correspondence to the appropriate person of the team
  • Maintain records of personnel-related data (payroll, personal information, leaves, turnover rates, etc.) in both paper and the database and ensure all employment requirements are met
  • Liaise with other departments or functions (payroll, benefits, etc.)
  • Support the recruitment/hiring process by sourcing candidates, performing background checks/ checking recommendations/experience certificates, assisting in shortlisting, issuing employment contracts, etc.
  • Schedule meetings, interviews, HR events, etc. and maintain the team's agenda
  • Ensure completion of Hiring Authorization Forms from program lead (budget holder)
  • Coordinate training sessions/ workshops/ seminars
  • Perform orientations, onboarding, and update records with new hires
  • Produce and submit monthly/quarterly reports on general HR activity
  • Assist in ad-hoc HR projects, like the collection of employee feedback
  • Support other functions as assigned
  • Collect and review timesheets (office and field) for the Finance Coordinator to process payroll administration
  • Prepare all timesheets for senior management to cross-reference Bamboo HR for accuracy
  • Conduct new hire orientation for staff and volunteers using onboarding checklist
  • Support implementation of HR and Administration policies and guidelines for the Dhaka & Cox's Bazar office
  • Maintain confidential, accurate, and up to date records of all staff (printed and electronic)
  • Maintain an updated staff spreadsheet including tracking contract dates and extensions
  • Record staff absences, overtime, contracts, travel authorizations, training completions, and professional development forms
  • Track staff leave and support supervisors in ensuring leave planning is done
  • Maintain the HR filing system, including the update of all paperwork and soft copies in Google Drive
  • Organize and implement the recruiting process
  • Assist with employment terminations/ probationary period terminations/ lay-offs/ etc.
  • Take lead organizing in staff-wellbeing initiatives/ team-building exercises
  • Admin Responsibilities (25%)
  • Communicate with international staff/fellows to manage expectations and guide the visa process
  • Coordinate with local partners to secure visa documents required for international staff/fellows
  • Work with government officials and offices for audit purposes if needed (Dhaka level)
  • Ensure all records in the CPI Dhaka office are up to date at all times and ready for audit
  • Represent/attend meetings/training and events as needed
  • Remain flexible to perform other duties as requested by the supervisor



Additional Info

  • Must have Cox's Bazar working experience & be residing in Cox's Bazar currently
  • Proven experience as an HR Officer or relevant human resources/administrative position
  • Knowledge of human resources processes and best practices
  • Strong ability in using MS Office (MS Excel and MS Powerpoint, in particular)
  • In-depth understanding of sourcing tools, like resume databases and online communities
  • Familiarity with social media recruiting
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good organizational and time management skills
  • Fluency in written and spoken English and local language
  • Excellent organizational, planning, and interpersonal skills
  • Experience of working in a multicultural, low-resource setting
  • Ability to establish priorities in a time-sensitive environment and meet deadlines with strong attention to consistency, detail, and quality.

Educational Requirements

  • Bachelor of Business Administration (BBA) in Human Resource Management
  • Bachelor's degree in Human Resources, Accounting, Finance, Commerce, or another relevant field
  • Skills Required: At least 1 years experience in the Humanitarian Response in Coxs bazar
  • Experience Req
